How to request access to records held by Smart Station (Pty) Ltd under the Promotion of Access to Information Act 2 of 2000, and how POPIA rights interact with such a request.

1. About this manual
Smart Station (Pty) Ltd ("the Company") develops and operates business software, including GetShopSync. This manual explains how to request access to records the Company holds.
It is published on this website and is available free of charge. A copy will be provided on request.

3. The Regulator's guide
The Information Regulator publishes a guide on how to use PAIA. Requesters should consult it for the general procedure and the prescribed forms. It is available at https://inforegulator.org.za.

5. Records held under other legislation
The Company holds records required of a private company, including those under the Companies Act 71 of 2008, tax and VAT records required by SARS, employment records, and records of processing activities under POPIA. Access to these remains subject to the grounds for refusal in PAIA and to other law.

Catalogue content held inside a customer's GetShopSync account belongs to that customer. A request for another organisation's catalogue data will ordinarily be refused or redirected to them, because they are the responsible party for it.
7. How to request access
- 01Use the prescribed PAIA request form published by the Information Regulator.
- 02Send it to privacy@getshopsync.com.
- 03Include enough detail to identify you and the record, the form of access you want, and an address for our response.
- 04If you are requesting on someone else's behalf, include proof of your capacity to do so.
- 05Pay the prescribed request fee where one applies. We will tell you the amount before any work begins.
We will decide within the periods PAIA requires, and will tell you of any fee, extension or ground of refusal.
Grounds for refusal may include the protection of a third party's commercial information or privacy, privileged material, and records whose disclosure would compromise the security of our systems or another customer's data.
8. Fees
Request and access fees are those prescribed under the PAIA regulations from time to time. We will tell you what applies before granting access.
9. If your request is about your own personal information
A request for your own personal information is usually better made under POPIA than PAIA. See our POPIA Information Notice — the process is simpler and there is normally no form to complete.
10. If we refuse
You may approach the Information Regulator or the courts as PAIA provides. The Regulator is at JD House, 27 Stiemens Street, Braamfontein, Johannesburg, 2001, https://inforegulator.org.za.
